  • Inventory Tracking

    This section allows administrators to manage inventory and stock transfers between warehouse and store locations. It provides tools to track product quantities, update stock levels, and ensure accurate availability across the system.

    You can track product variants from Warehouse based products, Store based products, Stock Transfers Management, or Stock Transfers History under the Inventory module.

    To track, follow these steps:

    • Navigate to the sidebar menu and find the ‘Inventory’ section. Open Warehouse Based Products and monitor current stock levels in each warehouse or Store Based Products based to monitor stock levels at the individual store level. To make tracking simpler use the filter option. Note that these two options can only be used to view information.
    • Under ‘Inventory’ open the Stock Transfer Management section to manage the movement of stock between different warehouse locations. It can also be used for transferring products between warehouses and tracking those transfers. Use the filter option to quickly view the required information. Additionally, the Stock Transfer History menu can be used for reviewing or exporting transfer history, with an optional shortcut to create new transfers.

    Warehouse Based Products

    Centralized view of inventory across all warehouse locations.

    Change Location

    • Dropdown at the top-right allows filtering products by warehouse location.
    • Selecting a location updates the product list to show inventory for that warehouse.
    • If no location is selected, All Warehouse Inventory Data appears by default.

    Filter Options

    Filter dropdown helps refine product visibility:

    Availability

    • All: Shows all items.
    • In Stock: Shows SKUs with availability > 0.
    • Out of Stock: Shows only zero-quantity items.

    Product Type

    • All: Shows all product types.
    • Simple: Products with one variant.
    • Variable: Products with multiple variants (size, color, etc.).

    Inventory Table Columns

    Information displayed for warehouse stock:

    • SKU
    • Product Name
    • Price
    • Incoming (in transit stock)
    • Committed (reserved for orders)
    • Available (free to sell)
    • Action buttons for further operations

    Action Options

    Click the eye icon under Action to access:

    View Inventory Page

     Displays:

    • Product SKU
    • Product Name
    • Warehouse Location
    • Incoming / Committed / Available quantities

    Additional Functional Controls

    • All Inventories — View SKU availability across all warehouses
    • View Product — Open product page on storefront
      Update Quantity
      • Increase — add stock (enter quantity & description → Save → toast: “Updated Inventory Details”)
      • Decrease — reduce stock (enter quantity & description → Save → toast: “Update Inventory Details”)

    History Log

    Track all inventory activity with:

    • Date / Activity type / Incoming / Outgoing / Other changes
    • Activity Description
    • Quantity involved
    • Updated Available balance

    Store Based Products

    Provides the same controls and functionality as Warehouse Based Products, but specific to retail store-level inventory.

    Use this module to:

    • Track availability at individual storefronts
    • Detect stock shortages at specific stores
    • Manage local inventory independent of warehouse levels

    Both Warehouse and Store Based Products ensure a consolidated visibility of stock availability across your entire network.

    Stock Transfer Management

    Used to create, update, and monitor product movement between store & warehouse locations.

    Summary Cards

    Displayed on top showing total transfer counts:

    • Total Transfers
    • Pending Transfers
    • Completed Transfers
    • Cancelled Transfers

    Filters and Search

    Controls help narrow transfer records:

    • Status dropdown (All Status)
    • From Location dropdown
    • To Location dropdown
    • Date range fields
    • Apply Filters and Clear Filters
    • Keyword Search: Transfer ID, SKU, Product or Location

    Transfers Table Columns

    • Transfer ID
    • From → To (origin & destination)
    • SKU
    • Product Name
    • Progress / Status (Track Progress button)
    • Transfer Date
    • Items Count
    • Requested By
    • Actions

    Shows: No stock transfers found when empty.

    Opens Update Transfer Status modal:

    • Dropdown: Select Status
    • Warning note:

      Once a transfer is marked as completed, inventory will be automatically updated and the transfer cannot be modified.
    • Buttons: Cancel / Update Status

     Completing updates inventory automatically
    Can no longer edit after completion

    Exports transfer report details.

    Create a New Transfer

    Available via:

    • + Create New Transfer button (Management page), or
    • + New Transfer in Stock Transfer History

    Transfer Information Fields

    • From Location Type*

    • Transfer Date* (Date & Time prefilled)
    • Notes (optional)

    After valid selections → message:

    Products loaded successfully. Select products and quantities below.

    Items to Transfer Options

    Auto-load Product List

    • Bulk selection using checkbox
    • Available Stock shown
    • Enter Quantity for each row
    • Search & Per Page available
    • Click Add Selected to include items

    Manual Item Entry

    • Dropdown: Select SKU*
    • Product auto-filled
    • Quantity required
    • Remove icon to delete line

    Buttons at Bottom

    • Save as Draft
    • Submit Transfer
    • Submit & Mark Complete
      • Confirmation:

        This will immediately complete the transfer and update inventory. Are you sure?

    Success Messages (Toasts)

    • Transfer submitted successfully!
    • Stock transfer created successfully.

    Validation Messages (Toast block)

    • From Location Type is required
    • From Location is required
    • To Location Type is required
    • To Location is required
    • From and To locations cannot be the same
    • At least one line item is required. Click “Add Item” to add products to transfer.

    Stock Transfer History

    Provides chronological transfer records for review, tracking, and auditing.

    Using these four modules together ensures:

    •  Accurate stock tracking across warehouses and stores
    •  Full traceability of movements
    •  Prevention of over-selling or stock mismatches
    •  Role-based visibility for operational efficiency

    These settings ensure accurate stock visibility, efficient transfer management, and complete traceability across warehouses and stores. Regularly monitoring inventory levels and transfer history helps prevent stock discrepancies, maintain balanced distribution, and support smooth warehouse-to-store operations throughout the system.

  • Managing Product Variants

    This section allows administrators to create and manage product variants using defined attributes. It helps configure variant details like price, stock, shipping, and barcode to ensure accurate product listings.

    You can manage product variants from All Products, Vendor Products or Admin Products under the Products module.

    To configure, follow these steps:

    • Navigate to the sidebar menu and select ‘Products’.
    • Choose one of the following options: All Products, Vendor Products or Admin Products depending on the product type.
    • In the product list, locate the variable product you want to manage.
    • Click the Edit icon under the Action column.
    • Proceed to the second page of the configuration to modify and save your changes. 

    NOTE: The same product list table will be available for Vendor and Admin products. The same steps can be followed for configuration.

    You will find the following form fields to configure:

    • Select Attribute: Choose the type of attribute to add from the dropdown list.
    • Select Attribute Value: Add multiple values for the same attribute from the dropdown list.
    • Save Attribute: Click to save. A toast notification ‘Product Attributes Updated Successfully’ will appear to confirm the addition.
    • View and Manage Attributes:
      • After saving attributes, click ‘Continue’ to proceed to the next section titled ‘Add Product Variations’ for the selected product.
      • Under the title ‘Variations’, click the ‘Create Combinations’ button to generate variant combinations automatically.
      • A toast notification ‘Product Combinations Created Successfully’ will confirm the creation.
    • Add Product Variations:
      • Configure Each Variation: Click on a specific variation to open detailed form fields to input or modify data. The form fields include:
        • Regular Price: Standard selling price before any discounts.
        • Sale Price: Discounted price offered during promotions or sales.
        • Tax Settings (Change): Option to modify or apply specific tax rates to product.
        • Product SKU: Unique stock-keeping unit code used to identify product.
        • Stock Quantity: Total number of units currently available in inventory.
        • Low Stock Limit: Minimum stock level that triggers a low-stock alert.
        • Weight (kg): Product weight used for shipping and logistics calculations.
        • Shipping Cost: Delivery charge applied to product based on location or weight.
        • Include/Exclude Pincodes: Postal codes where delivery is allowed or restricted.
        • Image Upload: Option to add product images for display on storefront.
        • Dimensions (cm): Product measurements including length, width, and height.
        • Barcode Management
          • Enter or Scan Barcode
          • Upload Barcode Image
          • Generate New Barcode
          • Cancel / Save options in modal dialog
    • Save Variant Details:
      • Click Submit to add the variation details.
      • Toast notification: ‘Product Inventory and Shipping Data Updated Successfully’ confirms the save.

    These settings ensure each variant is correctly configured and saved, maintaining accurate inventory and a smooth customer selection experience.

  • Managing Store Details

    This section can be used to establish your store’s core presence and identity. It provides the basic configuration that defines your website’s appearance and overall behavior. Setting this up ensures your platform is aligned with your brand and ready for customers.

    To configure, follow these steps:

    • Navigate to the sidebar menu and find the ‘Settings’ section.
    • Click ‘Web & App Settings’.
    • Select ‘General Settings’ from the submenu.

    The fields available on this page are listed below:

    Store Identity & Contact Information:

    • Site Title: Enter the name of your website. This will be displayed in the browser title bar and across various site areas.
    • Website Description (Optional): Provide a short description about your website.
      This will be used in various display sections and can help convey your brand purpose.
    • Website Address: Enter your website’s URL or domain address.
    • Support Email: Enter the email address where customers can reach you for support.
    • Support Contact: Enter the phone number for customer support. Include the country code if needed.
    • WhatsApp Contact: Provide a WhatsApp number for instant customer support and inquiries.

    Logo and Branding Settings:

    • Primary Logo – Original Version: Click ‘Choose File’ to upload the main website logo.
    • Light Version: Upload the logo version suitable for light backgrounds.
    • Dark Version: Upload the logo version suitable for dark backgrounds.
    • Favicon: Upload a favicon icon. This small icon appears in the browser tab next to the site title.
    • Logo Width: Enter the width of the displayed logo in pixels.
    • Logo Height: Enter the height of the displayed logo in pixels.

    Application Store Links (If Applicable):

    • Google Play URL: Enter the app link if your platform has an Android mobile app.
    • App Store URL: Enter the app link if your platform has an iOS mobile app.

    Search Engine Visibility:

    Choose whether the website should be visible to search engines.

    • Yes: The website will be indexable and discoverable by search engines.
    • No: The website will be hidden from search engine indexing.

    Save Changes:

    After filling all required fields, click ‘Submit’ to save the settings. A confirmation toast notification will appear to indicate that the settings have been updated successfully.

    If you wish to discard changes, click ‘Cancel’.
